How many times did you hear people saying that they don't have time in even saying a -Hello- to you when they are running through a hectic time at work? They often complain that they don't know how the day has gone by so fast. If you think little differently you will understand that the time from 9 to 5 is same for everyday. It is all about how you utilize your time better and more productively. Here I try to give a few tips which can help you manage your time in a more productive manner. It can reap you world of benefits in terms of increasing your productivity, improving your image in front of your boss, getting you the bonus scheme & thereby bringing in some extra cash etc. Six ways to improve your time management are illustrated below for your own benefit. 1. Take some time to analyze your daily working areas and try to find out some ways of eliminating the activities which consume a lot of your time without any productive output. For example try to avoid face to face meeting if it can easily be done by telephone or e-mail instead. If you don't reach the person on telephone then stop calling his number repeatedly and shoot an e-mail instead. Like this you can trim out the amount of unnecessary work you do everyday and utilize the time in more productive work which can earn you benefits. 2. Start getting yourself properly organized. Chalk out the plan for tomorrow before you leave office today. Put the files in proper locations so that you can easily find them when they are required. You may end up spending 10 minutes in locating one file which if properly placed can save you 10 minutes in which you can even write a fresh new letter. 3. Start prioritizing your daily activity list. Sit with the daily activity list and line up your activities according to the urgency and necessity of each task. Try to attend the client first and devote your time in meeting your deadline. Try to shift the minor tasks untill you are free from the important stuffs. Setting priority to your work is one of the governing factors in good time management. 4. Start optimizing the time you spend in a particular activity. Try to use some tools which will help you perform the tasks more effectively and quickly in an organized manner. Programs like Microsoft Project, Outlook help scheduling your days effectively and alert you with important tasks which you may tend to forget at times. Start using your mobile phone as an important tool by setting the important alerts for you which will make you punctual always. 5. You have to adopt the technique which can help you minimizing your presence in office. Set your environment soothing to your work which will allow you to concentrate hard on the work assigned to you. When you are really required to concentrate hard, tell your colleagues to fill you in later with their details of last night's activity, put -out of office- or -busy- message on your mobile phone or e-mails for the time being. The last thing you want is to carry your office burden to home or to put long hours at office only because of not utilizing your office hours effectively. If you can minimize these influences then you can give your 100% in office and complete the tasks always on time. 6. Try to identify your period of non productiveness at work and cut them down. When you are waiting for a file to upload or download, don't play solitaire or watch latest cricket/ football updates. Instead, try utilizing this time in drafting a letter or list up the pending activities. All these moments, no matter how small they are, can add up a lot in your success in the long run. These tips can definitely boost your productivity and the day will not be far enough when you will be able to finish your tasks much early and invite your colleagues to get all the details of their last night activities!!
