Business Writing - An Important Tool For Success

A business has many opportunities to expand and grow - it can opt for both related diversification and unrelated diversification. No matter which option the business selects, it is inevitable that the business will face business writing in one form or another. Whether informing people about new business inauguration or inviting another business to be your partner, or business advertisement etc whatever it is you will find business writing as a primary source of communication. Therefore it is very important to write well so that the intended message will pass across smoothly and the business will receive the desired results. If a business is unable to write in perfect English its image will decline in the eyes of both its partners as well as its clients. Unclear business writing can create many problems for the businesses like:

• The wrong message communication may result in wrong feedback i.e. the desired action may be delayed or deleted permanently.
• The unclear message may result in action which is not supposed to take place, thus making the whole communication process useless.
• Dual meaning messages can create confusion and thus can disturb business relations.
• The message receiver will also get a negative image of the company as being unfocused enough to overlook the importance of business writing.

Thus we can say that if any business is unable to communicate its message properly to the intended party it is similar to the wrong placement of a stone while preparing the foundation of any building. That wrong placement may result in incorrect building structure or may prove to be highly dangerous for the building as it may cause the building to fall down in long run (even in short run). Thus to be successful in any business focusing on business writing is utmost important because others will take your image via your communication style and if you can't communicate properly how can you expect your business to flourish?

Thus whether you are considering expanding your business or staying in the same business, business writing is very important to stand firm in highly competitive market along with giving a professional image. There are many ways how a business can improve its business writing skills to give a desirable and reliable image to other parties:

• Owner can take up the charge and take a few sessions on grammar, spelling and other English requirements so as to communicate perfectly.
• Using the software available in the market which provide excellent business writing options, dictionary-thesaurus as well as letter templates etc to serve all the business communication needs.

There are several places where business writing is important than anything else and act as an element that can make or break the company's image like:

• Business presentations
• Press releases
• Website content for the business site
• Technical specifications
• Advertisements and / or marketing texts

And you will also agree that without the above mentioned communications done properly there are no chances of business success, thus we consider business writing as an important tool for business success. Remember what Albert Camus has said about writing "Those who write clearly have readers; those who write obscurely have commentators." Now it is up to you to decide whether you want readers or commentators.

You can also think of the importance of business writing from the example that when you read a billboard which is not written well thus requiring you to read it twice or thrice to understand, you instantly think that it could be written well so as to make it more understandable. The same is what your customers will think about your message if they find it ambiguous or unclear. So try to:

• Be clear and specific while writing business messages.
• Think about your own writing critically before sending it to the receiver.
• Check all your emails or mails before they leave the office because once gone they can't come back.
• Avoid using words having double meanings as they can create a lot of confusion.
• Don't write business letters as once and for all; make several drafts and revise to get a final one.
• Never underestimate the importance of revision and proofreading.
